GENERAL INFORMATION
When you hire the Radlett Centre for a performance or function the following conditions would normally apply, unless otherwise agreed in your contract.
Terms & Conditions subject to change
- Any person wishing to hire any of the facilities must fully declare their intended use of the facilities at the time of booking, and time booked should not be used for any other purposes.
- The Radlett Centre is open to the public at certain times, and therefore the booking of particular rooms or spaces does not imply any restriction on general entry to other parts of the building by other authorised users.
- The Radlett Centre or its name must not associated to political, religious or other opinions expressed in a performance.
- The hire period will commence and finish at the times stated on the contract of hire, and any use of the premises outside of these times must be paid for at an hourly rate unless otherwise agreed by the management.
- All hire charges include the services of a Duty Manager during your event. The Duty Manager is responsible for ensuring all conditions are adhered to throughout the hire.
- All equipment for your event/performance must be brought into the Centre within the hire period and removed immediately after the end of the event/performance unless otherwise agreed in advance by the management. Any equipment brought into the premises is at the hirer's own risk, and the security of such equipment is entirely the responsibility of the hirer. Equipment brought into the Centre by a hirer would not normally be covered by the Radlett Centre's insurance.
- The Radlett Centre operates a no smoking policy in the entire building.
- The hirer is responsible for all damage to, and theft of, equipment, furniture and fittings, which occurs during their hire period, and will be held responsible for the full replacement cost of such items. In some cases, the hirer will be required to pay a deposit, which will be held against any property damaged during the hire period. The hirer is advised to consider taking out insurance against these risks.
- All areas available for hire within the Radlett Centre have a standard configuration of use. This includes positioning and storage of furniture and equipment in each room. The hirer must return the space hired to this standard configuration unless otherwise agreed with the management. If the hirer requires an alternative room layout in advance by members of the Centre staff, this may incur a further charge.
HEALTH & SAFETY
- The Radlett Centre has an exemplary Health & Safety record and regards all accidents as serious and reportable. The hirer has a duty to report any accident to a member of the Radlett Centre staff immediately and ensure that it is recorded in the Centre's Accident Book.
- The Technical Manager must be notified of any electrical equipment which the hirer intends to bring into the building in order that it can be inspected. All electrical equipment must be PAT Tested. The Technical Manager has the right to disallow use of any equipment deemed unsafe.
- It is the responsibility of the hirer to familiarise themselves with the Radlett Centre Health & Safety Document, which includes all emergency evacuation procedures. Due care and attention to safety must be taken on stage, and within the building at all times, especially if you use a stage extension or any rostra. Protective clothing, such as steel capped boots should be worn where necessary.
ACCESS
The majority of the Radlett Centre is accessed through the ground floor. The theatre, stage and kitchen areas are all accessible on the ground floor for the purpose of deliveries.
Most areas of the Radlett Centre are fully accessible to wheelchair users, including the first floor, which is served by a lift. The exception to this is the basement which are accessed by steps. One of the dressing rooms however is served by a lift to stage level. An induction hearing loop facility is available in the theatre. Guide dogs are welcome, though it is requested that guide dog owners attending a theatre event leave their dog in the care of the Duty manager after they have found a seat. Dogs are otherwise not admitted to the Centre.
CAR PARK
The Radlett Centre has 30 spaces for cars outside the building, a good proportion of which are for use by disabled badge holders. Newberries car park, which is situated on the opposite side of Watling Street behind Budgens has 100 spaces designated for priority use by patrons of the Radlett Centre. This car park is managed by Hertsmere Borough Council, and the Radlett Centre cannot be held responsible for loss theft or damage to vehicles and contents.
Spaces in the car park are on a first come, first served basis and cannot be reserved.
MEETING ROOMS
There are various meeting rooms in the Centre which are available for hire for meetings, presentations, corporate hospitality and small functions, all of which are situated on the first floor.
The minimum hire period is two hours and bookings must be in denominations of complete hours. This must also include any setting up time that you require.
Equipment (subject to availability) includes: Overhead projector and screen, television, DVD and video. A flip chart and stand are available, although a charge may be made for replacement pads. Any such equipment that is required for your hire should be organised in advance of your booking to ensure its availability. A charge may be made for some items provided.
Any refreshments required by the hirer of meeting room facilities may only be supplied by the Radlett Centre. This should be discussed with the management prior to the event. Please note that in no circumstances can alcohol be served to anyone under the age of 18.
THEATRE
The theatre at the Radlett Centre is available for hire for performances, lectures, presentations, meetings and private functions. There are two standard configurations; tiered auditorium seating and flat floor exhibition/function mode.
The hire of the theatre includes the services of a technical supervisor at the beginning and end of a hire period for assistance and advice. Should your event require technical support during it's running, the use of the Technical Manager and any further staff must be negotiated with the management who will advise the hirer of what services are available and at what cost.
Any technicians engaged by the hirer must be able to demonstrate competence to the satisfaction of the Radlett Centre Technical Manager. Any unauthorised individual attempting to use technical equipment will be asked to leave the premises. The drinking of alcohol is not permitted in the Control Room.
All deliveries of equipment and setting up should take place during the hours of your hire period, although we will facilitate early delivery of certain items if we are able to. Any deliveries made would be entirely at your own risk.
Decorations or displays may be hung or arranged in the theatre at our discretion provided that they do not interfere with the security movement detectors and that no adhesive materials are used which may damage paintwork. All decorations must be removed at the end of the hire period. The hirer will be liable for any damage.
All stage sets and furnishing brought into the theatre by the hirer must be suitably flameproof. No naked flame, smoke, firearms or explosives are to be used in the premises without the permission of the Technical Manager.
No more than one public performance may take place in one hire period, unless agreed in advance. In which case a further hire session rate will be due.
Authorisation for the commencement of each public event must be given by a member of the Radlett Centre management team.
BACKSTAGE & DRESSING ROOM AREA
For reasons of security, the Radlett Centre has a lock up procedure for all areas of the building. If you are using the dressing rooms or backstage for a show, it will be locked up securely by a member of the Centre staff once all users have finished changing and have left the area. For this reason it is essential that all necessary belongings are taken with you if you intend to stay and use the bar facilities.
STAGE EXTENSIONS & ORCHESTRA PIT
Extensions to the stage may only be used by prior arrangement with the Technical Manager. There will normally be an additional charge to erect, and to dismantle the extension.
The safety of people using the stage and auditorium must always be regarded as a priority, and any extensions to the stage or use of the orchestra pit must not put the users of the stage or the audience at risk.Steel capped footwear must be worn when handling heavy objects. A minimum area must be allowed for any seating on the flat floor, and our Technical Manager will be happy to discuss this in advance of your performance. The decision of the Radlett Centre Technical Manager is final on any matters regarding health & safety.
PAINTING THE STAGE
Depending on the time available during your hire, it may be possible for you to paint the stage if it is required for your set. This should be discussed in advance with the Technical Manager, whose guidelines must be followed. If the stage is painted in any colour other than black for your booking, you will need to paint it again with black paint at the end of your hire period with two coats of a suitable paint as advised by the Technical Manager.
TECHNICAL EQUIPMENT
Although the Radlett Centre is equipped with some high specification technical equipment, it should not be taken for granted that we can necessarily meet the demands of your production/event. This should be discussed in advance of your booking with our Technical Manager. Any equipment that we have to hire in especially to your instructions will be charged directly back to you. This may include radio mikes & batteries.
CATERING
Any caterers using the Centre's kitchen must comply with all Centre rules, and are answerable to the Duty Manager. Caterers' vans must not block any fire exits. The kitchen must be left as it is found and a returnable deposit is usually levied for this. Outside caterers may not supply any drinks except for tea & coffee with a meal. The Radlett Centre does not supply any china, cutlery or linen.
KITCHEN
Use of the kitchen must be clarified in advance of your booking, and it is available for use depending on the Centre's own requirements. It is essential that you declare in advance your own intentions of use.
All equipment which the hirer intends to use during the hire period must be demonstrated by the Cafe Bar staff before the event. Any person who has not had the equipment demonstrated would not be permitted to use it.
Anyone concerned with the preparation and handling of food must have a current Basic Food Hygiene certificate.
All deliveries and collections of food, equipment and other items pertaining to the catering aspect of any function must not take place outside the agreed hire period without prior consent from the Centre Manager.
The kitchen must be left in a clean and tidy state with all equipment returned to its original place. All surfaces must be thoroughly cleaned, and the floor must be swept and washed. The Duty Manager will check the kitchen at the end of the event. Failure to comply with this regulation may result in a cleaning charge being levied.
BAR
Whilst the Radlett Centre does allow outside caterers to provide food for events and functions in the hall, drinks, alcoholic or otherwise be brought onto the premises unless a separate agreement has been made in advance, and the relevant bar waiver fee paid. All drinks and bar requirements can be discussed with the bar manager prior to the event. The Radlett Centre bar is comprehensively stocked and fully licensed, and the bar manager will be happy to discuss ordering specialist items.
The bar is licensed to serve drinks until 11pm, when time will be called. All glasses must be returned to the bar by 11.20pm. On Sundays these times are 10.30pm and 10.50pm respectively. The Centre reserves the right to close the bar earlier than this during public events if demand at the bar is low.
At no time may alcoholic drinks be served to people under the age of eighteen. If in doubt, bar staff are instructed to request proof of age; failure to provide this will result in the individual not being served. It is also an offence for patrons over the age of eighteen to buy drinks for patrons under age.
BOX OFFICE
If the Radlett Centre acts as agents for the selling of tickets for your event, a commission fee of the gross sales will normally apply. All sales are subject to the conditions published in our events brochure and our standard systems and procedures will be followed. It should be noted that tickets may not be exchanged or refunded unless a performance is cancelled. Tickets may be accepted for re-sale if a performance is sold out, at a charge of £1.50 per ticket, although it cannot be guaranteed that they will be sold.
Ticket prices agreed and published in advance for your event cannot be altered. The Centre is committed to making events accessible to all members of the community. Any hirer selling tickets for a public event is encouraged to offer a concession rate to the usual qualifying groups, a list of which is available from the management.
Tickets for events can be booked in person or over the telephone with a credit card during the Centre box office hours. Any credit card commission charged by the bank will be deducted at cost from the box office gross before any monies are forwarded on to you. Postal bookings can be made if a cheque is sent in advance. Tickets may be reserved and will be held for 3 days before the event, up until 72 hours before the event. All cheques for tickets must be made out to The Radlett Centre Trust.
Tickets sold through any source other than our own box office is only possible if organised in advance, and confirmed in writing, with the management.
Shortly after the event a detailed box office report will be sent to the hirer along with a final statement. This statement will usually reflect the deduction of any credit card commission and outstanding hire fees due to the Centre. The hirer should then supply an invoice to the Radlett Centre Trust for payment by cheque for the balance due. Please note that although we have to charge VAT, the sum we return to you will be based on the gross box office take. Any VAT liability on ticket sales is therefore your responsibility.
WEBSITE / INTERNET TICKET SALES
The Radlett Centre has a website (www.radlettcentre.co.uk) which is updated three times a year. It is possible to book tickets on-line through a link on the website provided that we have sufficient notice to include your event and that you are not selling the tickets yourself.
MARKETING
Booking the theatre for any event or performance does not include any marketing agreement with the Radlett Centre, and it is the sole responsibility of the hirer to promote their own event. The importance of outside marketing cannot be stressed too heavily and although the management will be more than happy to offer advice on this, they cannot be held responsible in any way. Posters and leaflets for inclusion in the Centre's displays must be given to the Centre administration staff only. Whilst every attempt will be made to display them, this is entirely at the management's discretion and the Centre staff are unable to guarantee any specific instructions from a hirer.
Public performances are sometimes included in the Centre's marketing brochure providing appropriate copy deadlines are met, and it is the hirer's responsibility to supply the necessary details. Although every endeavour is made for accuracy, the Radlett Centre cannot be held responsible for any copy and information errors in the brochure. Deadlines do not allow for the provision of any proofs to hirers for approval and we are unable to return any pictures or images sent for inclusion. The Centre reserves the right not to include some events in the brochure, and any run of less than 5 performances is unlikely to be included.
You must obtain permission to use the Centre's logo on your publicity.
The inclusion of advertising within production programmes, or the slipping of such programmes with promotional leaflets, must not be of a nature which conflicts with the interests of the Radlett Centre. This includes the Centre's theatre events and private hire facilities. If you are in any doubt about the suitability of such material please consult the manager.
In no circumstances may a user of the Centre intentionally encourage publicity that may damage the reputation of the Radlett Centre. Any incidence of this may result in the contract being terminated with immediate effect.
BANNERS ON THE HIGHWAY
At present, Hertsmere Borough Council do not allow banners to be put up on the highways in Radlett.
ILLUMINATED DOT-MATRIX SIGN It may be possible to include your event on the illuminated Centre sign. The charge for this is £50 + VAT (subject to change without notice).
FRONT OF HOUSE
If you are holding a public performance in the theatre it is essential that you provide stewards and a front of house supervisor. To ensure adequate control over health & safety, the Radlett Centre may insist that their own stewards are used, and the cost of this passed on to the hirer. All stewards and volunteers assisting with hire events should familiarise themselves with safety and evacuation procedures as laid out in the Radlett Centre Health & Safety Document. Anyone dealing with the public during the event should also familiarise themselves with the Centre's customer care policy and should be aware that in these matters they are answerable to the Duty Manager who has a responsibility to ensure that customer care standards are maintained.
The management reserves the right to refuse entry to any member of the public attending an event or a function without stating a reason why. Similarly, the management can ask an attendee to leave the premises at any time.
Users may sell their own programmes, but may not sell other items in the foyer without prior permission from the manager. This will usually be granted in the case of charity raffles and tombolas, but not for the sale of confectionery or other consumables that may affect the Centre sales.
PROVISIONAL BOOKINGS
A date may be held provisionally at the discretion of the management. A date will normally be held for one week unless you notify us that you require more time. Pencilled bookings are not binding on either side and should be confirmed in writing as soon as possible if you wish to proceed.
Although basic hire charges can be given in advance, it is not possible to give a final quotation until we have been made fully aware of the demands of your booking.
BOOKING & PAYMENT
A booking may be made after the availability and terms are agreed with the management. A completed booking form should then be returned to the Centre, which includes all the details necessary to provide a contract. We then invoice you for the deposit due to secure the booking. This deposit is non-returnable in all instances.
All room and theatre hires must be confirmed in writing, along with any special instructions or requirements.
The remaining hire fee for events or functions will be due four weeks before the event. If an event is booked less than six weeks in advance, the hire fee must be paid in full at the time of booking. For performances where the Radlett Centre is handling ticket sales, see previous section. No event or function may go ahead unless the hire fees are paid in advance, or if there is not sufficient in your box office take to cover such fees.
CANCELLATION OF A BOOKING
Meeting Rooms:
Once a booking form has been received, all cancellations will be subject to a minimum cancellation fee of £25 + VAT per day towards administration and missed bookings.
If a room hire is cancelled with ten days or less before the first date of the hire period, the balance must be paid in full.
Theatre:
If a theatre booking is cancelled three months or less before the first date of the hire period, or if it is listed in our Events brochure, the balance must be paid in full.
PAYMENT
Payment can be made by cash, cheque, BACS & credit card. All cheques should be made payable to the Radlett Centre Trust. Please do not send cash through the post.
THE RADLETT CENTRE LIABILITY / FORCE MAJEURE
The Radlett Centre Trust cannot be held financially responsible for any external factors that may adversely affect a booking. This includes power cuts or other losses of amenities that are beyond the control of the Centre staff. Most insurance companies offer event insurance which may be worth considering.
